Campervan Rental Terms & Conditions

1. YOUR CONTRACT WITH US - By accepting the hired vehicle, you are fully acknowledging and agreeing to these terms and conditions. It is the responsibility of the Hirer to thoroughly understand this Agreement; thus, we urge you to carefully read through its contents. Should there be any aspect that is unclear or with which you disagree, kindly bring it to the attention of a representative of Trend Conversions before the Hire begins.

2. BOOKING CONFIRMATION, CHARGES AND PAYMENT - A booking is only confirmed after payment of a standard 25% booking/security deposit. By paying this deposit you are accepting these terms and conditions and a binding contract for the hire will come into existence. A booking confirmation will be sent to you reflecting the rental period and the rental charge. Your full rental payment is payable six weeks before the start date of your hire, or immediately if you book less than six weeks in advance. Failure to make full payment on the date due may result in your booking being cancelled. In this event, your initial deposit will be non-refundable. In entering this agreement, you accept (a) to pay all charges due in accordance with the terms and conditions of hire and (b) that we are entitled to charge any credit or debit card used by you during the hire transaction for payment of any such outstanding charges.

3. CANCELLATIONS - It is strongly advised that you take out insurance against any unavoidable cancellation. All cancellations must be notified in writing to us, but please call immediately to inform us as this will improve the chances of rehiring the motorhome. If notification is received more than six weeks before the start of the rental, you will be refunded in full less an administration charge of £200. If notification is received less than six weeks before the start of the rental, all monies paid are non-refundable and you will still be liable for any amount still due. However, we will attempt to rehire the motorhome and if able to do so, you will be refunded up to a maximum of your total hire (less an administration charge of £250) subject to the amount we can rehire the motorhome for. Should your booking need to be cancelled by us due to advice or instructions by the government then a full refund will be given, or the option to re-book for a later date. In this instance, we take no liability for any other costs relating to your planned holiday.

4. INSURANCE PROVISIONS - Included in the price of hire is fully comprehensive insurance, covering the motorhome and its equipment. The insurance is only valid for the driver(s) stated on the rental agreement and for the period of the hire from the specified collection date and time to the specified date and time of return. It is the responsibility of any driver to inform us of any endorsements/accidents in the last 6 years or still stated on their licence plus any medical conditions or restrictions that may affect their acceptance for insurance. Failure to adhere to all the above may invalidate the vehicle insurance and constitute a traffic offence under the Road Traffic Act causing the driver to be liable to prosecution. Should the insurance policy become invalidated for any reason, we will hold you responsible for all damage to the vehicle, third-party property damage and injuries, and any other related liabilities incurred (including fines). You will be liable for all costs and expenses incurred for speeding, parking fines, congestion charges, or any other offences committed against the Road Traffic Act or other traffic regulations, and you agree to indemnify the company from any liability. All drivers must be aged between 25 and 75 and have held a full licence for at least 2 years. All drivers must be present at the time of collection and produce a full driving licence with their current address (physical card and printed copy) and 2 printed copies of official forms of ID from different sources dated in the last 3 months and matching the address on the licence (acceptable IDs are bank/credit card statement, electricity/gas bill, TV licence, phone/broadband/mobile bill, Polling card, Payslip or Loan/finance statement. In the case of a UK card licence, in addition to presenting the card, all drivers must also supply a licence check code obtained through the government “View Driving Licence” website www.gov.uk/view-driving-licence. The standard rental cost includes insurance for one driver. Additional drivers may be added on payment of an additional charge. It is the hirer's responsibility to inform us of any licence endorsements/bans/accidents in the last 6 years or still stated on their licence plus any medical conditions or restrictions that may affect their acceptance for insurance. Only the following licence endorsements are automatically accepted - up to two 3-point offences or a single 4-point offence; offences for 6+ may be accepted to either pre-approval by our insurance company and/or subject to an increased insurance excess. If approval from our insurance company is required, you must notify us at the time of booking as it is not possible to arrange at short notice.

5. INSURANCE EXCESS - Your liability shall not exceed £750 for every accident. Damage to the interior, windscreen, tyres, and road wheels is not covered by the insurance and is your full responsibility.

6. SECURITY DEPOSIT - When collecting a vehicle, a security deposit, equivalent to the insurance excess, is payable. This must be paid at least five days before collection. This is to cover the hirer’s liability in the event of an accident, or any other applicable charges stated in these terms and conditions. In the event of any charges becoming payable, these will be deducted from the deposit and a refund will be given for any remaining balance (in line with section 12).

7. MILEAGE RESTRICTION - An allowance of 100 miles per day is included in the rental charge. Excess mileage above this is charged at the end of the rental at the rate of 32p per mile.

8. COLLECTION AND RETURN TIMES - Unless otherwise agreed in writing, the campervan will be available at our collection point on the day of collection at an agreed time between 2.00 pm and 4.00 pm. It must be delivered back to the same location by 10.00 am on the last day of hire. Arriving late for a collection after 4.00 pm will incur a £25 out-of-hours fee. Unauthorised late returns will be charged at the rate of £25 per hour for each hour or part thereof that the motorhome is returned late plus any transport or other costs incurred by us in ensuring its safe return.

9. FUEL, GAS AND DAILY MAINTENANCE - You must ensure that you use the correct fuel - all our campervans are diesel fuel, and you are responsible for the charges in rectifying a vehicle that has been mis-fuelled. Fuel is at your expense, and you must return the campervan with a full tank of fuel as was present when collected with any shortfall being estimated and charged at the current rate plus an additional service charge. If the campervan uses gas, a full gas cylinder will be supplied with the campervan. If gas needs to be replenished during the hire, you are responsible for the cost of refilling any empty cylinders. It is your responsibility to check basic maintenance items such as oil/water/tyre inflation levels daily and, if necessary, to take appropriate actions to avoid unnecessary damage to the vehicle.

10. EVENTS BEYOND OUR CONTROL - Unfortunately, events beyond our control (i.e. events which we could not, even with due care, foresee or avoid). We cannot accept responsibility or pay compensation, costs, or expenses where the performance of your contract with us is prevented or affected, or you otherwise suffer any loss or damage because of events beyond our control. However, if you are unable to commence your rental because of such events, we will provide an alternative campervan of at least the same number of berths if possible, or if no suitable replacement is available, we will provide a full refund of all monies received for your booking, without further liability.

11. BREAKDOWNS AND REPAIRS - Despite regular quality control checks, occasional problems can still arise with the vehicles. In the event of an accident, breakdown, or technical difficulties (including problems with tyres), you must inform the rental department immediately on the helpline number provided (leaving a voice or text message if unable to connect or out of normal business hours). In the event of an accident, the police must be contacted, and the rental department must be informed as soon as it is safe to do so. Third-party demands are not to be agreed to and the police report must include the name and address of the people involved as well as any witnesses, along with all vehicle registration details. Even in the case of minor damage, you are required to provide a detailed written report to our rental department outlining the circumstances of the accident. (Full details of what to do in the event of a breakdown or accident are included in the motorhome information pack.) If you do not inform our rental department immediately about the need for a repair and if we are not allowed to help, find a solution, no compensation will be provided. If you inform our rental department about any vehicle problems after the vehicle has been returned, but without having informed them during the rental period no insurance cover or compensation will be provided. Small repairs up to £50 (cumulative) can be carried out without prior notification of the rental department and will be reimbursed at vehicle drop-off time. For repairs that will cost more than £50, you are required to inform the rental department before repairs take place to obtain their approval to proceed (otherwise no repairs will be reimbursed). Repairs can only be reimbursed upon presentation of a receipt. If the vehicle is out of action due to a mechanical breakdown* (not an accident) for longer than 12 hours, through no fault of yourself, our responsibility is limited to refunding the daily rental rate or portion thereof covering the period from when the fault was initially notified to us until a repair has been completed. *Mechanical breakdown: We do not provide compensation for damage or problems with the following items: radio/CD player, TV, microwave, air conditioning, fridge, all appliances such as the oven, water pump, shower and toilet, generator, automatic steps, cruise control and GPS.

12. ADDITIONAL RESPONSIBILITIES - You must look after the vehicle and its contents, including any keys. Ensure that the campervan is always locked, and all security devices supplied are activated when you are not inside. You must always protect the vehicle from bad weather which may cause damage. You are responsible for any damage to the vehicle caused by hitting low-level objects such as bridges or low branches. We shall not be liable for loss or damage to any property left, stored, or transported by the hirer or any other person in the vehicle during the period of the rental. You agree to hold us harmless from and indemnify us against all claims based upon or arising out of such damage. You must not sell, rent, dispose of, or give anyone any legal rights over the vehicle or any of its parts or contents. You must not allow anyone to work on the vehicle without our permission (subject to the terms contained within point 10 above regarding minor (<£50) repairs.

13. RETURN OF SECURITY DEPOSIT - The security deposit will normally be returned to you within 5 working days after the end of the hire period provided the motorhome is returned to us in a satisfactory condition and at the location and date and time agreed. Satisfactory condition includes clean, undamaged, with all tools, accessories, and equipment in the same condition as when collected and having been operated reasonably (see “Motorhome Use”). Cleaning charges which may be deducted from the security deposit include: • Fridge / Freezer not clean £25 • Cooker hob or grill not clean £25 • Shower / Toilet Compartment not clean £50 • Toilet cassette not emptied and cleaned £100 • Mattress stains requiring deep clean £50 • Interior excessively dirty £25 - £100 If charges, including damage repair and replacement, exceed the level of security deposit paid, you will be charged any additional sum to cover this excess and that sum will be due immediately at the end of the hire.

14. PETS – We do allow pets but only if a prior agreement is made. There will be an extra cleaning fee of £50 if the furniture and bedding as contaminated with pet hair at the end of the rental period. This will be deductible from your deposit.

15. SMOKING - It is illegal to smoke or allow smoking in a hired vehicle in the UK (even with the windows open). Any infringement will incur a charge of £100 and leave you liable to prosecution and a fine of up to £1000.

16. BED LINEN AND TOWELS - Bed linen and towels are not provided with the motorhome as standard. If you require these items, please enquire about availability and charges.

17. MOTORHOME USE - The motorhome must not be used: • for hire or reward • for any illegal purpose • to propel or tow any other vehicle or trailer • for racing, pace-making, reliability/speed testing or driver tuition • by any person under the influence of alcohol or drugs • to carry a greater number of passengers or baggage than recommended by the motorhome manufacturer • on any unsealed or unauthorised roads, in forbidden or restricted areas or on beaches or in salt water • outside Scotland, England and Wales unless you have declared this and paid any relevant insurance charge (and, in this event, it must not be used outside Europe)

18. STORAGE OF HIRER’S OWN VEHICLE - Parking is available free of charge to you for the duration of the hire period at the vehicle owner’s own risk.

19. ENDING THE AGREEMENT - We will end this agreement immediately and repossess the vehicle if we find out that your belongings have been taken away from you to pay off your debts, or a receiving order has been made against you. We will also end this agreement and repossess the vehicle if you do not meet any of the conditions of this agreement have obtained the vehicle through fraud or misrepresentation, or if the vehicle appears to be abandoned. If you are a company, we will also end this agreement immediately and repossess the vehicle if you go into liquidation or call a meeting of creditors. If we end this agreement, it will not affect our right to receive any money we are owed under the conditions of this agreement.

20. CHANGES IN TERMS AND CONDITIONS - We reserve the right to alter the rates and conditions at any time. We also reserve the right to refuse or cancel the hire of any person without warning or explanation. Additions to or alterations of the terms of this agreement shall be null and void unless agreed upon in writing by all concerned parties.

21. GOVERNING LAW - This agreement is governed by the laws of the United Kingdom. Any dispute may be settled in the courts of that country. It is strongly recommended that you take out your personnel travel insurance policy as you would for any holiday to cover all eventualities such as protection of personal belongings, injury, public liability etc. as Trend Conversions does not cover this on their insurance.
